Accommodation Terms & Conditions
Scope of Agreement
Article 1 – Scope of Agreement
- The accommodation contract concluded between our ryokan and the guest, as well as related agreements, shall be governed by these Terms and Conditions. Matters not specified in these Terms and Conditions shall be governed by laws or generally established customs.
- In cases where our ryokan has entered into a special agreement with the guest, as long as such agreement does not violate laws or established customs, the special agreement shall take precedence over the provisions of these Terms and Conditions.
Application for Accommodation Contract
Article 2 – Application for Accommodation Contract

A guest who wishes to apply for an accommodation contract with our ryokan shall provide the following information:
- Name of guest(s)
- Date and estimated time of arrival
- Accommodation charges (based on the Basic Accommodation Charges in Table 1)
- Any other information deemed necessary by the ryokan
- If, during the guest’s stay, the guest requests an extension of stay beyond the date specified in paragraph 1 above, the ryokan shall treat it as a new application for an accommodation contract at the time such request is made.
Conclusion of Accommodation Contract
Article 3 – Conclusion of Accommodation Contract
- The accommodation contract shall be considered concluded when our ryokan has accepted the application as stipulated in the preceding Article. However, if it is proved that our ryokan did not accept the application, the contract shall not be deemed concluded.
- When the accommodation contract is concluded as stipulated above, the guest shall pay an application fee (deposit) designated by the ryokan, limited to the basic accommodation charges for the accommodation period (up to three days if the stay exceeds three days), by the date specified by the ryokan.
- The deposit shall first be applied to the final accommodation charges to be paid by the guest. If circumstances arise where Articles 6 and 18 apply, the deposit shall then be applied in the order of penalty charges, then to compensation for damages, and any remaining balance shall be refunded upon payment of the charges under Article 12.
- If the guest fails to pay the deposit by the date specified in paragraph 2, the accommodation contract shall lose its validity.
However, this shall apply only if the ryokan has notified the guest of the deposit payment deadline.
Special Agreement Not Requiring Payment of Deposit
Article 4 – Special Agreement Not Requiring Payment of Deposit
- Notwithstanding the provisions of paragraph 2 of the preceding Article, the ryokan may, after the conclusion of the accommodation contract, enter into a special agreement that does not require payment of the deposit.
- If the ryokan does not request payment of the deposit as stipulated in paragraph 2 of the preceding Article or does not specify a due date for payment of the deposit at the time of accepting the accommodation application, the contract shall be treated as if such a special agreement has been made.
Right to Refuse Conclusion of Accommodation Contract
Article 5 – Right to Refuse Conclusion of Accommodation Contract
Our ryokan may refuse to conclude an accommodation contract under the following circumstances:
- When the application for accommodation does not comply with these Terms and Conditions.
- When no rooms are available due to full occupancy.

When the person seeking accommodation is deemed likely to engage in any of the following acts:
- Acts that violate laws or public order and morals, or acts that are prohibited under the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991), including membership in an organized crime group, its members, associates, or other antisocial forces.
- When the applicant is a corporation or organization controlled by an organized crime group or its members.
- When any director or officer of the corporation or organization is considered to be part of an organized crime group.
- When the person seeking accommodation engages in behavior that causes significant nuisance to other guests.
- When the person seeking accommodation is clearly suffering from an infectious disease.
- When the person seeking accommodation makes unreasonable demands beyond the scope of accommodation responsibility.
- When accommodation cannot be provided due to force majeure such as natural disasters or facility failures.
- When the case falls under the provisions of Article 5, Paragraphs 1 or 2 of the Nagano Prefectural Ordinance on Public Health Management of Inns and Hotels.
Right of the Guest to Cancel Accommodation Contract
Article 6 – Right of the Guest to Cancel Accommodation Contract
- The guest may request cancellation of the accommodation contract by notifying the ryokan.
- If the ryokan has requested payment of a deposit as specified in Article 3, Paragraph 2, and the guest cancels all or part of the accommodation contract due to reasons attributable to the guest, the guest shall pay a cancellation charge as stipulated in Table 2. However, if the ryokan has entered into a special agreement under Article 4, Paragraph 1, this provision applies only when the ryokan has notified the guest of the obligation to pay a cancellation charge.
- If the guest does not contact the ryokan and fails to arrive by 9:00 p.m. on the day of the stay, the accommodation contract shall be deemed cancelled by the guest.
Right of the Ryokan to Cancel Accommodation Contract
Article 7 – Right of the Ryokan to Cancel Accommodation Contract

The ryokan may cancel the accommodation contract under the following circumstances. This does not limit the ryokan’s right to claim compensation for any damages incurred:
- When the guest is deemed likely to act in violation of laws or public order, or to act against good morals, or is recognized as having committed such acts.

When the guest is deemed to fall under any of the following categories:
- Organized crime groups, members, associates, or other antisocial forces as defined under the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991).
- Corporations or organizations whose operations are controlled by an organized crime group or its members.
- Corporations or organizations in which any of the directors or officers are considered to be members of an organized crime group.
- When the guest engages in behavior that significantly disturbs other guests.
- When the guest is clearly suffering from an infectious disease.
- When the guest makes demands that are violent or grossly unreasonable.
- When accommodation cannot be provided due to force majeure such as natural disasters or facility malfunctions.
- When the case falls under the provisions of Article 5, Paragraph 1 of the Nagano Prefectural Ordinance on Public Health Management of Inns and Hotels.
- When the guest does not comply with prohibited acts specified in the ryokan’s usage rules (limited to those necessary for fire prevention, such as not smoking in bed).
- If the ryokan cancels the accommodation contract based on the above, the guest will not be charged for services that have not yet been provided.
Registration of Accommodation
Article 8 – Registration of Accommodation

The guest shall register the following information at the front desk on the day of accommodation:
- Name, age, gender, address, and occupation of the guest
- For foreign guests: nationality, passport number, port of entry, and date of entry into Japan
- Date and time of departure and expected departure method
- Any other information deemed necessary by the ryokan
- If the guest intends to settle payment under Article 12 using traveler's checks, accommodation coupons, credit cards, or other methods that can substitute currency, such method shall be presented at the time of registration.
Hours of Guest Room Use
Article 9 – Hours of Guest Room Use
- The guest may use the ryokan’s guest room from 3:00 p.m. until 11:00 a.m. the following morning. However, for consecutive stays, the guest may use the room for the entire day on check-in and check-out days except for cleaning or maintenance periods.

Notwithstanding the preceding paragraph, the ryokan may allow use of the guest room outside the specified hours. In such cases, the ryokan may charge an additional fee as specified below:
- Payment shall be made in Japanese currency or by a credit card accepted by the ryokan at the front desk at the time of check-in.
- Even if the guest voluntarily does not stay in the room after beginning its use, the full accommodation charge shall still apply.
Observance of House Rules
Article 10 – Observance of House Rules
- While inside the ryokan, the guest shall comply with the house rules established and posted by the ryokan.

Article 11 – Business Hours of Facilities

The business hours of the ryokan’s main facilities are as follows. Details of other facilities are posted within the ryokan, listed in pamphlets, or provided in the in-room service directory.

Front Desk & Cashier Service Hours
- Closing Time: 24:00 (midnight)
- Front Desk Service: 7:00 – 21:00

Dining Service Hours
- Breakfast: from 7:00 or 8:00 (depending on the day)
- Dinner: from 18:00 or 19:00
- Lounge: 15:00 – 11:00 (available from)

Other Service Facilities
- Shop: 7:00 – 21:00

Payment of Accommodation Charges
Article 12 – Payment of Accommodation Charges
- The breakdown of the accommodation charges payable by the guest shall be in accordance with Table 1.
- Payment of accommodation charges shall be made in Japanese currency or by credit card or other methods accepted by the ryokan, at the front desk, either at the time of conclusion of the accommodation contract, during the stay, or at the time the ryokan requests payment (no later than check-out).
- Once the ryokan has made the guest room available, even if the guest chooses not to stay at their own discretion, the accommodation charge shall still be collected.
Responsibilities of the Hotel
Article 13 – Liability of the Ryokan
- The ryokan shall compensate the guest for any damage caused through the performance or non-performance of the accommodation contract and related agreements, except where the damage is not attributable to the ryokan’s responsibility.
- The ryokan is covered by Ryokan Liability Insurance to respond to fires and other unforeseen incidents.
Handling When Contracted Rooms Cannot Be Provided
Article 14 – Handling When Contracted Rooms Cannot Be Provided
- If the ryokan cannot provide the contracted guest room, it shall, with the guest’s consent, arrange for accommodation of the same or similar conditions at another lodging facility as much as possible.
- If such arrangements cannot be made, notwithstanding the preceding paragraph, the ryokan shall pay the guest compensation equivalent to the penalty charge, which shall be applied to the amount of damages.
However, if the inability to provide the room is not attributable to the ryokan’s responsibility, no compensation shall be paid.
Handling of Deposited Articles
Article 15 – Handling of Deposited Articles
- When cash or valuables deposited by the guest at the front desk are lost, damaged, or otherwise harmed, the ryokan shall compensate for such damage, except when the loss or damage is due to force majeure. However, if the guest did not declare the kind and value of the cash or valuables when requested, the ryokan shall compensate up to a maximum of JPY 100,000.
- When goods or cash/valuables brought into the ryokan by the guest but not deposited at the front desk are lost or damaged due to the ryokan’s intentional or negligent acts, the ryokan shall compensate for such damage.
However, unless the guest declared the kind and value of the goods in advance, compensation shall be limited to JPY 100,000, except in cases of willful misconduct or gross negligence by the ryokan.
Custody of Guest’s Luggage and Belongings
Article 16 – Custody of Guest’s Luggage and Belongings
- If the guest’s luggage arrives at the ryokan prior to their stay, the ryokan shall be responsible for safekeeping only if the ryokan has agreed to receive it beforehand. The luggage will be handed to the guest at the front desk at the time of check-in.
- If the guest’s luggage or personal belongings remain at the ryokan after check-out, the ryokan shall be responsible for safekeeping only if prior consent was given.
- If the item is not claimed within a specified period, it will be handled as if ownership rights have been relinquished. The ryokan’s responsibility for custody of the guest’s luggage or belongings in the cases mentioned in the preceding paragraphs shall be in accordance with the provisions of Article 15, Paragraph 1 or Paragraph 2.
Liability Regarding Parking
Article 17 – Liability Regarding Parking
- When a guest uses the ryokan’s parking facilities, regardless of whether the vehicle keys are entrusted to the ryokan, the ryokan shall only provide the space and shall not be responsible for the management of the vehicle.
However, if damage occurs due to the ryokan’s intentional or negligent management of the parking facilities, the ryokan shall compensate for such damage.
Liability of the Guest
Article 18 – Liability of the Guest
- If the guest intentionally or negligently causes damage to the ryokan, the guest shall compensate the ryokan for such damage.
Article 19 – Breakdown of Accommodation Charges
- The breakdown of accommodation charges shall be as specified in Table 1 (referred to in Article 2, Paragraph 1 and Article 12, Paragraph 1).

1.The basic accommodation charge shall be in accordance with Table 1.
2.Child rates apply to elementary school students and below. Children provided with meals and bedding will be charged the same as adults. For infants provided with two meals per night, the charge is JPY 8,800 (tax included). Infants not requiring meals and bedding will be charged a facility usage fee of JPY 3,300 (tax included).

・The percentages indicate the ratio of the cancellation charge to the basic accommodation charge.
・If the number of contracted nights is shortened, a cancellation charge equivalent to one night (the first night) will be collected, regardless of the number of shortened nights.
